In short: this site runs on Webpoint, a membership platform operated by Webpoint Technologies for A2P Sports. Webpoint provides the software. A2P Sports owns its registrants’ information and decides how it is used.
Webpoint does not sell, rent or market anyone’s personal information, and does not use it for any purpose of its own.
In this policy, “Webpoint”, “we” and “us” mean Webpoint Technologies, which builds and operates the Webpoint membership platform. “Your organization” means A2P Sports, which uses the platform to run its registrations, events and certifications. This site is A2P Sports’s site on that platform.
The two have different roles:
This policy explains what the platform collects and how Webpoint handles it. It does not set out A2P Sports’s own practices (see section 3), and it does not cover A2P Sports’s main public website or other systems your organization uses, which have their own policies.
Webpoint staff access registrant records only to provide support to your organization, to maintain and secure the platform, or when your organization asks us to.
These are commitments about Webpoint. They do not limit A2P Sports, which may use its registrants’ information for its own communications and promotions as it decides (see section 3).
A2P Sports controls its registrants’ information. What it asks for, who it shares it with, how it contacts you, what it publishes and how long it keeps its records are its decisions, made under its own policies and obligations. Webpoint does not make those decisions and is not responsible for them.
The same applies to anything A2P Sports downloads or exports from the platform, such as reports and registrant lists, and to anything it shares outside the platform. Once information leaves the platform, it is handled under A2P Sports’s practices, not this policy.
If you want to know how A2P Sports uses your information, or you have a concern about it, contact A2P Sports directly (see section 13).
Some organizations require a background screen for certain roles, usually coaches, officials and volunteers. When you apply for one, the platform collects the information the screening provider needs, which includes your Social Security number, and passes it to that provider. Your Social Security number is removed from the platform once the application has been submitted; the platform keeps the outcome of the screen and its dates, not the details behind it.
When you pay by card, the card number is sent to your organization’s payment processor to charge. What the platform keeps against the payment is the card type, the last four digits, the processor’s reference numbers and the amounts, which is enough to show you a receipt and to answer a question about a charge later. The security code is never stored. If you pay with Google Pay or Apple Pay, the platform receives a one-time token from the wallet, not your card number.
Standard web-server logs, including your IP address, and the cookies that keep you signed in (see section 6). Webpoint uses Cloudflare for basic, cookie-less page analytics and to protect public forms from automated abuse. We do not use advertising or cross-site tracking cookies.
What is visible is set by your organization. The list below describes what the platform can show; not every organization uses each feature.
Directories and listings do not currently show less for a registrant who is under 18 than for an adult. If you are the parent or guardian of a young registrant, this is worth knowing before entering them in a published event or adding a photo.
Email and text messages you receive through this site come from A2P Sports, which decides what to send: messages about your registration, events and certifications, and news and announcements. Webpoint delivers them through its email and text-message providers. The email provider records whether a message was opened and which links were clicked, and A2P Sports can see those results.
Text messages are sent only to a mobile number you have provided and consented to, and are transactional: confirmations, status changes and check-in messages. Webpoint does not use your email address or mobile number to contact you for any purpose of its own, and mobile numbers and text-message consent records are not shared with anyone for marketing.
Every email has an unsubscribe link, and replying STOP ends text messages. You can also change both under Account Settings → Email Preferences and Text Preferences. The Communications Privacy Policy has the detail.
The platform keeps registrations, event entries, results and certifications as a record of what happened, and does not delete them when they expire, because a registrant’s history is part of the organization’s records and often of their own eligibility. Changes to a record are logged with who made them. Social Security numbers are removed as described in section 4, and card numbers are never kept in full. Web-server and error logs are kept for a limited period and then discarded.
Many registrants are under 18. An account for a minor should be created and managed by a parent or guardian, and where your organization has turned it on, a parent can hold one login that manages each of their children’s registrations. Read section 5 before entering a young registrant in a published event or adding their photo, because the platform does not currently show less about a minor than about an adult.
Webpoint will update this policy as the platform and the law change. The date at the top of this page shows when it last changed. If a change affects how your information is used or shared, we will note it on this page.
For a question about your information, about how A2P Sports uses it, or to exercise any of the choices above, contact A2P Sports at memberships@webpoint.us. Because A2P Sports controls its registrant records, it is the right place for requests about your own record.
For a question about this policy or the platform itself, contact Webpoint Technologies at webpoint.us.
